| Position Summary: |
| Acts as a clerical assistant to the President/CEO, and Performs highly specialized and responsible secretarial and administrative work requiring independent judgment and knowledge of office organization and practices |
| Essential Duties and Responsibilities: |
- Establishes and maintains CEO’s schedule. Screens calls, mail, and unscheduled visitors. Handles routine inquiries and correspondence on own initiative. Relieves superior of clerical detail and minor administrative matters, acting only on general instrunctions.
- Interprets and acts on administrative decisions and policies as explained by superior.
- Reads and prepares reports and special breakdowns of data summarizing the information to facilitate review by the superior.
- Examines and checks reports for completeness, propriety and adequacy, determines conformance to established requirements, and follows up discrepancies.
- Handles calls on questions that may be disposed of personally or involving complaints of a delicate nature.
- Gives information to the public and staff on matters not requiring the superior’s attention.
- Establishes and maintains a complete and detailed filing system, including suspense files necessary to control daily activities of agency.
- Takes and transcribes dictation, and types from rough drafts and other source documents,
- Maintains records and reports necessary for office operation.
- Maintains office in manner appropriate to the organization’s standards and activities.
- Performs other duties as assigned.

| Skills and abilities required for the job: |
- Knowledge of general principles of modern office practices, procedures, and equipment.
- Strong computer (WordPerfect, Excel), business management, English, spelling, math, and analytical skills.
- Excellent written and verbal communication skills.
- Bilingual Spanish/English a plus
|
| Education /Certifications/Experience Required: |
- Associate’s degree in human services, business, or a related field (bachelor’s degree preferred). Two years experience in office administration.
|
| Personal characteristics required: |
- Good judgment in decision-making, recognizing established precedents and resourcefulness in meeting problems.
- Ability to be a team player and work effectively under pressure..
- Excellent communication skills.
